If you're evaluating hotel management software in India, you'll find no shortage of options — and most of them do roughly the same thing: rooms, rates, and a booking calendar. The harder question isn't "does it manage rooms," it's "does it manage my actual property," which for a lot of hotels, guesthouses and trusts includes a lot more than rooms.
What Hotel Management Software Should Actually Do
At a minimum, expect software to handle:
- Bookings — walk-in, advance, and (ideally) bookings from your own website, with real-time availability so your front desk never double-books a room.
- GST-ready invoicing — CGST/SGST/IGST calculated automatically, not worked out by hand at checkout.
- Reporting — at minimum, a daily cash position and an occupancy view. Ideally also a Tally-compatible export so your accountant isn't re-entering everything.
- Multi-branch support — if you run, or plan to run, more than one property, this needs to be built in from the start, not bolted on later.
Questions to Ask Before You Buy
- Does it handle mid-stay changes? Guests extend stays, add companions, or check out early. Ask whether the bill updates automatically or whether your front desk has to manually recalculate it.
- What happens to old invoices if you change your rates? If a vendor can't answer this clearly, it usually means rates aren't snapshotted — meaning a rate change could silently alter historical invoices.
- Is there an audit trail? Ask specifically whether records can be permanently deleted, or whether changes are logged with a reason. This matters more than it sounds like it should, especially if you answer to a board or trustees.
- Does it only do rooms? If your property also runs a hall, an in-house kitchen, or a laundry service, ask directly whether those are built in — or whether you'll be running separate systems and manually combining bills at checkout.
The Mistake Most Buyers Make
The most common mistake isn't picking bad software — it's picking software that's a perfect fit for "a hotel" in the abstract, and a poor fit for the property you actually run. A lot of hotels, guesthouses, dharamshalas and trusts in India run more than just rooms: a function hall, a dining hall, a laundry service. If your software only handles rooms, every one of those other services ends up on a separate system, a separate register, or a separate bill — which means your front desk and accounts team spend time reconciling things by hand that should have been automatic. - ☐ Real-time availability across all booking types (walk-in, advance, online)
- ☐ Automatic GST invoicing, configurable per room category
- ☐ Rate history so past invoices never change retroactively
- ☐ Multi-branch support built in, not added later
- ☐ An audit trail with no hard deletes
- ☐ Support for any hall, food, or laundry operations you already run
- ☐ A reporting suite your accountant can actually use, including Tally export
